Exec Admin Assistant

As the Executive Administrative Assistant to our Business Consulting Leadership team, this position will report into our Business Management team and will provide executive administrative support to Leadership team executives. Primary responsibilities include managing heavy travel, phones, scheduling meetings, heavy calendaring and files, generating and mailing correspondence and other duties as assigned.

Essential Functions:

  • Handle all day-to-day responsibilities for the Leadership Team.  This includes and is not limited to answering multiple phone lines, scheduling and coordinating both internal and external meetings and other general administrative functions.
  • Calendar all meetings and keep executives current with any changes; provide materials and order food/beverages where applicable.
  • Liaison and partner with Clients, and internal business partners as a part of normal business and day to day operations.
  • Provide support to other executives and their respective assistants with team events, activities and meetings.
  • Develop and maintain a recognition and relationship management program for clients and employees, including birthday, anniversaries and other occasions are appropriately recognized.
  • Heavy travel coordination:  arranging all aspects of travel including air, lodging, and transportation, dining reservations in conjunction with the corporate travel department.
  • Management of expenses: organize receipts and input in Concur in a timely manner to ensure meeting billing schedule.
  • Prepare and review all documents for meetings as well as any department communications.
  • Draft correspondence on behalf of the Leadership Team while maintaining style and brand representation.
  • Other Job Duties:
    • Serve as a go-to resource for executives and other staff members
    • Create and or modify PowerPoint presentations, reports, and other materials
    • Work closely with Human Resources on department wide activities, programs and processes.
    • Create solid working relationships with other administrative staff, business partners, others within the department and clients.
    • Work professionally with senior executives and clients, think and work independently, be proactive, handle confidential information and work effectively and efficiently.
    • Other ad hoc projects as assigned.

Qualifications:

  • Minimum of 6+ years of experience in an Executive Assistant role
  • Extensive experience working with high level executives; Client management experience is a plus
  • A critical thinker, anticipation skills, exhibits advanced decision making capabilities and ability to exercise judgement in all tasks.
  • A high level of integrity, earning the respect and trust of his/her peer groups and executives
  • Strong communication skills a must – verbal and written
  • Exceptional interpersonal and partnership skills Highly motivated and able to adapt to changing priorities
  • Exceptional travel arrangement and calendaring experience, with proven success working across time zones
  • Financial Services industry experience or supporting a sales organization is a plus
