Executive Admin Assistant

Job Overview:

We are currently looking to hire an Executive Administrative Assistant within the Wealth Management Solutions Strategic Partners organization. This position will primarily provide support to the Executive Vice President and secondarily, support three senior vice presidents and the overall needs of the department.


  • Executive administrative support for the EVP, with primary day-to-day responsibilities including managing heavy travel coordination in conjunction with the corporate travel department, phones, scheduling meetings, maintaining calendars and files, among others.

  • Provide support scheduling meetings and expense reporting for the SVPs, and Departmental support which includes coordinating large team meetings, assisting with visiting guests and ensuring items are ordered.

  • Management of expenses: organize receipts and input in Concur in a timely manner to ensure we meet billing schedule.

  • Coordination with sponsor partners to set up events, meetings and conference arrangements.

  • Work professionally with senior executives and clients, including ability to think and work independently and interact with the media, our partner firms and our advisors.

What are we looking for?

We want a strong collaborator who takes personal pride in delivering exceptional experiences to clients and coworkers. This individual should be extremely detail-oriented, responsible, reliable, diligent, service-oriented, and personable. We need someone who thrives in a fast-paced environment, is helpful, detail-oriented and a team player who is able to work in the office at least 3 days per week.


  • Strong oral and written communication skills.

  • Minimum of 6+ years’ experience in an executive assistant role, comfort working with high-level executives (high visibility position)

  • Proactive in meeting and exceeding needs of leader and handle confidential information.

  • Ability to meet deadlines and manage multiple competing priorities in a fast paced environment.


  • Financial Services industry experience a plus

  • Previous project management experience preferred but not required

  • Exceptional knowledge of all Microsoft applications: Excel, PowerPoint, Outlook, Word (MS Office Certification or equivalent operating knowledge preferred).
