We are currently looking to hire an Executive Administrative Assistant within the Care organization. This position will primarily provide support to the Managing Director.
Executive administrative support for the MD, with primary day-to-day responsibilities including travel coordination in conjunction with the corporate travel department, scheduling meetings, maintaining calendars and files, expense reporting, among others. May help in preparation of documents for meetings and communications (ex. Agendas, reports)
Provide support scheduling meetings, travel coordination and expense reporting for the EVPs, and Departmental support which includes coordinating large team meetings, engagement activities, ordering office supplies, as well as handling catering logistics thru Catertrax for on-site events.
Management of expenses: organize receipts and input in Concur to ensure timely reconciliation of expense reporting deadlines.
Special projects as needed and opportunity to expand development by assisting other departments as capacity allows.
What are we looking for?
We want a strong collaborator who takes personal pride in delivering exceptional experiences to management and peers. This individual should be extremely detail-oriented, highly organized, able to prioritize competing duties/projects, and have exceptional time management skills. We need someone who has the ability to multi-task, thrives in a fast-paced environment, is able to perform under pressure, as well as work autonomously with negligible supervision. This individual must be personable, conscientious, service-oriented, and be a team player who is able to work in the office on an as needed basis.
Strong oral and written communication skills.
Minimum of 6+ years’ experience in an executive assistant role, comfort working with high-level executives (high visibility position)
Proactive in meeting and exceeding needs of leader and handling confidential information.
Ability to meet deadlines and manage multiple competing priorities in a fast paced environment.
Exceptional knowledge of all Microsoft applications: Excel, PowerPoint, Outlook, Word
